Leave Administration Specialist – Temp –– Novato (Onsite) - $40 - $50/hour
Join a dynamic Human Resources team supporting employees and leaders through leave of absence and benefits programs. This temporary assignment is ideal for an experienced human resources professional who can provide expert guidance on complex leave matters, coordinate with external partners, and ensure a positive employee experience while maintaining compliance with applicable regulations and organizational policies.As the primary liaison to the organization, employees, and managers, you will leverage your expertise in leave administration, disability management, and accommodations to provide trusted guidance, resolve complex issues, and ensure the consistent application of leave programs and policies.

Leave Administration Specialist Duties
- Monitor leave cases from initiation through return to work, ensuring approvals, extensions, denials, and required documentation are processed in a timely manner.
- Provide guidance to employees regarding leave programs, pay continuation options, benefit impacts, accommodation processes, and return-to-work requirements.
- Communicate leave status updates, anticipated return dates, and process information to managers while maintaining appropriate confidentiality.
- Maintain accurate leave and employee status records within HR information systems, including tracking key dates and case milestones.
- Partner with managers, HR colleagues, and employees to support reasonable accommodations, modified work arrangements, and successful return-to-work transitions.
- Draft employee and management communications, FAQs, job aids, presentations, and other educational resources related to leave programs and policies.
- Prepare reports and analyze leave-related data to support operational needs and continuous process improvement efforts.
- Assist in the interpretation and consistent application of organizational policies, leave programs, and applicable collective bargaining agreement provisions.
Leave Administration Specialist Qualifications
- Three or more years of experience administering or coordinating employee leave programs, accommodations, disability claims, workers' compensation, or related employee support programs.
- Working knowledge of FMLA, ADA, state leave laws, workers' compensation regulations, and other applicable employment-related requirements.
- Experience partnering with disability carriers, or other service providers.
- Ability to interpret policies, procedures, and collective bargaining agreement provisions related to employee leave and seniority.
- Strong written communication skills with experience developing employee-facing guides, training materials, FAQs, and presentations.
- Exceptional interpersonal and customer service skills with the ability to discuss sensitive medical and personal matters with professionalism, empathy, and discretion.
- Experience utilizing HRIS platforms to manage employee records, track leave cases, and generate reports
- Strong organizational skills with the ability to handle multiple priorities, manage deadlines, and navigate complex employee situations.
- Bachelor's degree in Human Resources, Business Administration, Public Administration, or a related field, or an equivalent combination of education and experience.
